What goes wrong today
Two exports and a spreadsheet
Matching means exporting both ledgers to Excel and ticking the entries off one by one, for every pair of entities in the group.
So it only happens at year end
It takes long enough that it waits for 30 June, when nobody can remember what a payment in August was for.
Then something changes
An entry gets edited after the loan was reconciled, and you’re back in the spreadsheet trying to find what moved.
One loan, start to finish
From two ledgers to one agreed balance
This is a loan between two Bull family entities, each with its own Xero file. The figures are made up, but each step works the way the tool does.
Both sides of the loan, side by side
Open the loan and both files sit together for the dates you choose. The trust splits the loan across funds contributed and drawings, so both accounts reconcile against the single loan account in Bull Antics. Every loan in the group has its own tab along the top.
Match everything that’s in both files
The lightning bolt pairs every entry that appears in both files, which is the job that used to mean two Excel exports.
Find the entries that belong together
What’s left is in one file only, and most of it gets treated the same way. Filter for accounting fees, drawings or rent paid on another entity’s behalf, then select the lot.
Code one journal and post them all
The blue arrow builds a journal for each selected entry in the other file, on its own date. Code the first, copy that coding to the rest, then post every journal in one go.
See every loan in the group in balance
With everything matched or posted, the summary shows each loan in the group agreeing as at the date you pick. Export it, or any single loan’s report, to Excel for the file.

Who it’s for
Built for practices with multi-entity client groups
Practices looking after client groups where two or more entities lend to each other: a trading company, a bucket company, a family or unit trust. The more entities in the group, the more loans there are to keep in balance.
The step-by-step method, with or without AccountKit, is in how to reconcile inter-entity loans in Xero.
How often it comes round
Whenever you prepare management reports for the group, and at year end. It’s quick enough to keep up monthly.
- Monthly
- Auto match the new entries and post the one-sided ones while they’re easy to explain.
- Quarterly
- Every loan agrees before the management reports go out.
- At year end
- The summary shows the group in balance, ready to export for the file.
Connected ledgers
Journals post straight into the other file
Both sides come from the client’s own Xero files, and every journal you post lands in the file that was missing the entry. QuickBooks is coming soon and will work the same way, between two QuickBooks files.
The screens above use sample client groups and made-up figures. They aren’t a live AccountKit session.
Xero App Store reviews
What practices say about it
★★★★★
We just have to say account kit's inter-entity loan tool has saved our sanity. I've reconciled literally hundreds of lines across a larger group where very few of the loan accounts matched. It would have been a nightmare otherwise.
★★★★★
As a bookkeeping practice with lots of clients with multiple companies, the inter-entity loan reconciliation tool is invaluable.…
AccountKit is rated 5.0 out of 5 from 83 reviews on the Xero App Store.
Questions
What practices ask about inter-entity loans
Does the inter-entity loan tool work with QuickBooks?
Not yet. Today it reconciles loans between Xero files. QuickBooks is coming soon and will work the same way, between two QuickBooks files.
Do both entities need to be connected to AccountKit?
Yes. The tool reads both sides of the loan from the clients’ own accounting files, so each entity needs its Xero file connected.
Can I see every loan in a client group at once?
Yes. The summary tab shows every loan within a family group, and you can open any balance to see the loans that make it up.
What happens to entries that are only in one file?
Select the one-sided entries and post them to the other file as journals in bulk, so both sides of the loan agree.
